Clear Culture, Inc. (“Clear Culture,” “we,” “us,” or “our”) operates clearculture.ai and related services (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
Contact and Demo Requests
When you submit a demo request through our website, we collect your name, work email address, company name, approximate number of managers, and optionally your phone number. This information is stored in our database and used solely to respond to your inquiry and evaluate fit for our platform.
Company and User Accounts
If your organization becomes a Clear Culture customer, we collect account credentials and company information (company name, domain, plan tier) necessary to provide the Service. Access to the dashboard is authenticated via a one-time code sent to your work email address. We do not store passwords.
Employee Rating Submissions
Clear Culture is designed to collect anonymous manager feedback from employees. When an employee submits a rating, they provide their work email address for domain verification only. We store a one-way cryptographic hash (SHA-256) of that email address — not the email address itself — to prevent duplicate submissions. The hash cannot be reversed to identify the individual.
Rating records contain only: the manager being rated, the company, the sentiment selected (positive, neutral, or negative), and the submission timestamp. No name, email address, or other identifying information is stored alongside a rating.
Usage Data
We may collect standard server logs (IP address, browser type, pages visited, timestamps) for security and operational purposes. This data is not linked to individual identities or used for advertising.
2. How We Use Your Information
- To respond to demo requests and onboard new customers
- To authenticate users and provide access to the dashboard
- To deliver and improve the Service
- To send transactional emails (OTP codes, magic links, demo confirmations) via Resend
- To prevent abuse and duplicate rating submissions
- To comply with legal obligations
We do not use your information for advertising, and we do not sell your data to third parties.
3. Data Sharing
We share data only with service providers necessary to operate the platform:
- Supabase — database and authentication infrastructure (data stored in the United States)
- Resend — transactional email delivery
These providers are contractually bound to use your data only to provide services to us and are prohibited from using it for their own purposes.
We may disclose information if required by law, court order, or to protect the rights, property, or safety of Clear Culture, our customers, or others.
4. Data Retention
Contact lead information is retained for as long as necessary to manage the sales relationship. Customer account data is retained for the duration of the contract and for up to 90 days following termination. Rating data is retained indefinitely in aggregate form to maintain the integrity of manager scores. Email hashes used for duplicate prevention are retained for 48 hours and then deleted.
5. Your Rights
Depending on your location, you may have rights to access, correct, or delete personal information we hold about you. Washington state residents and California residents (under CCPA) may request:
- A copy of the personal information we hold about you
- Correction of inaccurate information
- Deletion of your personal information, subject to certain legal exceptions
Because rating submissions are fully anonymous by design, we are unable to identify or retrieve individual rating records — deletion requests for ratings cannot be fulfilled.

6. Security
We implement industry-standard measures to protect your information, including encrypted connections (TLS), row-level security on all database tables, and server-side handling of sensitive credentials. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
7. Children
The Service is intended for use by businesses and their employees. We do not knowingly collect information from anyone under 18 years of age.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and notify active customers via email. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
